For Librarians

Q.  Is this just for New Orleans Public Librarians or for all New Orleans librarians?

A. Any current or former librarian associated with any New Orleans libraries are encouraged to participate.

Q. Do I have to be a Harry Potter fan to participate?

A. Not at all.

Q. How much time will it take?

A. Having filled out the prompt form multiple times ourselves, we assure you it will take no more than five minutes. That is all we ask of you.

Q. Will my name/email be made public?

A: Your email is for confirmation of the prompt only and will not be posted or printed anywhere. Whether or not your name is printed in the book is your choice. Names will not be posted on the web site.

 

For Writers/Artists

Q. Is participation limited to only those in the United States?

No. Anyone who can write fluent English (American or British) can submit a story. Art submissions are also open internationally.

Q.  Are the stories/art work to be Harry Potter-based or original?

A. The call for stories/artwork we will be putting out is for ORIGINAL works only. We are NOT publishing any fan fiction and/or fan art.

Q. Is J.K. Rowling involved in this? Does she know about it?

A. JKR is not involved in this in any way.

We are simply raising money for a good cause by publishing an anthology featuring stories written by people who happen to be Harry Potter fans. That is the only HP/JKR connection.

We do, however, plan to let her and her people know about the project, especially as she is planning to visit New Orleans and NY this fall.

Q. Isn’t there some sort of Harry Potter copyright issue involved?

A. We are not at risk for infringing on HP copyright because all material in the book will be original material. (see early questions)

Q. Is the foundation or the staff making money off of our work?

A.  Every staff member is a volunteer. Not one of us is getting paid or making ANY money from this project.

In fact, until we are 501c3 approved, all administrative costs such as application fees, domain names, server space, business cards, etc. are out-of-pocket expenses for us personally, not Tears of the Phoenix.

Once we receive 501c3 status, we will be able to solicit donations and sponsorships for Tears of the Phoenix ,which will help cover our administrative costs, allowing ALL royalties from the anthology to be donated to Rebuild NOPL.

Q. What sort of payment/contract is involved?

A. As we stated above, no one is making any money from this project. This is strictly donation of stories/art only.

Those whose work(s) will appear in the book will be asked to sign a standard publishing contract stating that 1) This is, in fact, your original work; and 2) You agree to grant us exclusive first print rights for one year (June 2008-2009).

This simply means that your work is not fan fic, plagiarized or does not infringe on any other copyrights, and that you agree not to publish or post your story anywhere else until after June 2009, at which time, you can do with it whatever you wish.

Q. Is there an age limit on who can submit?

A.  We will not be accepting submissions from minors.

We acknowledge that there are talented young writers out there, but because we require you to sign a contract for publications, all authors must be of age.

Q. Would this book would be a "real" book, as in something not photocopied and spiral bound at Kinkos?

A.  Yes, this will be a "real" book. It will be a professionally printed trade paperback.

A trade paperback is typically of better production quality, larger size, and higher price than a mass-market edition, intended for sale in bookstores. If you have any of the supplemental Harry Potter books such as "Mapping the World of Harry Potter" or "The Sorcerer's Companion," those are trade paperbacks. Ours will also be in the traditional 6x9 trim.

Q. Will we be assigned prompts like in the exchanges?

A. The way this is going to work for the anthology will be a little different than traditional fandom exchanges.

First, you will NOT be assigned a prompt.

Secondly, you are not required to use all the prompt.

Thirdly, you are not limited to one prompt.

The "prompts" are meant to inspire you more so than limit you to write a specific story within their parameters. A story can be a combination of several prompts, just as a a story can contain multiple characters, each based on a different prompt.

We just ask that you keep track of which prompts you are incorporating in your story as we'll be listing the inspirations for each piece in the book in an author's note of sorts.

Q. Is there a specific submission format I need to follow?

A. Yes. We ask that all stories follow traditional submission formatting.

Inside artwork (in response to prompts) must be in black and white, 400 dpi, and no bigger than 5x8-inches.

Cover art submissions must be 400 dpi, CMYK and no larger than 6x9 (may allow for 1/8-inch bleed)

Q. Why do we have to give you our legal name and address?

A. We need it for the publishing contract. All traditional publishers will require this information.

Also, if your story is selected, (and with your approval), we will be sending the local media a press release when the book is due out.

Q. Do you really know what you are doing?

A. Surprising as it may seem, yes. We’ve done this before.

Q. When will the book be out?

A. We currently have a June release date as our goal.
